We are the data controller for the personal data described in this policy. For any question about this policy or your personal data, write to contact@palaestra.fr.

2. What we collect

2.1 Information you give us

When you apply for a camp or contact us through a form on this site, we collect the information you enter, which may include:

  • your first and last name;
  • your email address;
  • your WhatsApp number or phone number;
  • your playing level, how often you play, your availability and your budget fit;
  • anything you write in a free text field, such as your goals or your message.

If you subscribe to our newsletter, we collect your email address. If you start a conversation in the chat widget, we collect the content of that conversation and any contact details you provide in it.

2.2 Information collected automatically

When you browse the site, we and our providers may collect your IP address, device and browser type, operating system, the pages you visit, the time and duration of your visit, the site or advertisement that referred you, and identifiers stored in cookies or similar technologies.

We do not collect special categories of data such as health data. Please do not send us medical information through our forms.

3. Why we use it, and on what legal basis

  • To answer your application and organise your camp. Legal basis: steps taken at your request before entering into a contract, and performance of that contract.
  • To contact you about your application, by email, phone or WhatsApp. Legal basis: our legitimate interest in replying to people who contact us, and your consent where required.
  • To send you marketing emails about our camps and offers. Legal basis: your consent, or our legitimate interest where you are an existing customer. You can unsubscribe at any time.
  • To measure and improve the site, understand how visitors use it, and measure the performance of our advertising. Legal basis: your consent for non essential cookies and tracking technologies.
  • To meet our legal and accounting obligations. Legal basis: compliance with a legal obligation.

4. Who we share it with

We do not sell your personal data. We share it with the following service providers, who process it on our behalf or as independent controllers for their own measurement purposes:

  • Webflow, Inc. hosts this website and stores the submissions sent through our forms.
  • Meta Platforms Ireland Limited. We use the Meta pixel and the Meta Conversions API to measure our advertising on Facebook and Instagram and to show ads to relevant audiences. Events sent to Meta may include a hashed identifier and the pages you viewed.
  • Google Ireland Limited. We use Google Tag Manager, Google Analytics 4 and Google Ads conversion tracking and remarketing to measure traffic and advertising performance.
  • HighLevel, Inc. provides the chat widget on the site and stores the conversations you start in it.

We may also disclose personal data to our professional advisers, or to a public authority or court where we are legally required to do so.

5. International transfers

Some of these providers are established outside the European Economic Area, in particular in the United States. Where personal data is transferred outside the EEA, the transfer is covered by an adequacy decision of the European Commission, including the EU US Data Privacy Framework where the provider is certified under it, or by the European Commission standard contractual clauses together with additional safeguards. You can ask us for a copy of the safeguards in place by writing to contact@palaestra.fr.

6. How long we keep it

  • Applications and enquiries that do not lead to a booking: up to three years from our last contact with you.
  • Customer records: for the duration of our relationship and then as required by accounting and tax law, which is normally seven years for invoices and accounting records.
  • Newsletter subscriptions: until you unsubscribe, and then up to three years.
  • Cookies and similar identifiers: no more than thirteen months, unless you delete them sooner.

7. Cookies and similar technologies

Cookies that are strictly necessary for the site to work are set without your consent. All other cookies and tracking technologies, including those used by Meta and Google for analytics, advertising measurement and remarketing, are set only where you have consented.

You can withdraw your consent at any time, and you can block or delete cookies through your browser settings. Blocking strictly necessary cookies may prevent parts of the site from working. You can also adjust your advertising preferences directly with Meta and with Google through their own account settings.

8. Your rights

Under the General Data Protection Regulation, you have the right to:

  • access the personal data we hold about you and obtain a copy of it;
  • have inaccurate data corrected;
  • have your data erased in the circumstances set out in the GDPR;
  • restrict or object to our processing, including objecting at any time to processing for direct marketing;
  • receive the data you provided to us in a portable format;
  • withdraw your consent at any time, without affecting processing carried out before the withdrawal.

To exercise these rights, write to contact@palaestra.fr. We will reply within one month. We may ask you for information to confirm your identity.

If you believe we have not handled your data properly, you may lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon, Tatari 39, 10134 Tallinn, Estonia, info@aki.ee), or with the supervisory authority of the country where you live or work.

9. Security

We use appropriate technical and organisational measures to protect your personal data, including encrypted connections to this site and access controls on the tools where your data is stored. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

10. Children

Our camps and this website are intended for adults. We do not knowingly collect personal data from anyone under the age of 16. If you believe a child has provided us with personal data, please contact us and we will delete it.

11. Changes to this policy

We may update this policy from time to time. The date at the top of the page shows when it was last changed. Where the changes are significant, we will tell you by email or through a notice on the site.
